Based in CodeBase (Scotland’s largest tech incubator) and at home (we offer a combination of remote and in person working set ups) you will be responsible for the growth, improvement and maintenance of Xi’s project management office (PMO) function as described below. We are a multidisciplinary team of engineers and scientists delivering advanced measurement, data processing, modelling, simulation, and digital twin solutions across renewable energy, manufacturing, industrial infrastructure, and product development. We merge real-world data with digital insight to help clients design, optimise, and deliver faster, more sustainably, and with greater confidence.

Following the launch of our 2025–26 commercial and technical strategies, we are expanding the role of the Engineering Project Manager to be a leader in our delivery function. This means not just coordinating, but shaping, developing, and embedding agile and lean project management across consulting and R&D projects—helping our engineering teams be more nimble, innovative, efficient, and client-centred.

📝 Role Purpose

 

To lead, develop, and continuously improve Xi’s project management capability, ensuring projects are delivered on time, on budget, to high quality standards—and in ways that actively support innovation, client satisfaction, and commercial growth. This includes:

  • Implementing agile and lean product development methodologies across consulting and internal product/R&D streams.
  • Supporting the growth of a new R&D function that will develop proprietary tools, platforms, and software.
  • Acting as the central link between technical delivery, account management, and clients—ensuring seamless communication, clear priorities, and proactive issue resolution.

Though we are prepared to provide a limited amount of training, the expectation is that the right candidate will bring their proven track record in project management to the role and can demonstrate how they can deliver to the outcomes listed above. Similarly, though a background in STEM is not a requirement, evidence of a strong interest in and working understanding of the sciences and emerging technologies is necessary.

Key Responsibilities

Leadership & Development of PM Function
  • Own and continuously improve Xi’s project delivery frameworks, ensuring they support both consultancy projects and internal product/R&D initiatives.
  • Embed agile/lean methods into delivery, enabling iterative development, rapid feedback, and reduced time-to-value.
  • Mentor engineers and technical leads in agile project management, sprint planning, and delivery discipline.
Project Delivery Excellence
  • Lead the planning, execution, and closure of projects across multiple sectors and scales—from quick-turnaround measurement studies to multi-year, multi-phase modelling and product development programmes.
  • Coordinate resources across 30–50 concurrent work packages ensuring skills, tools, and timelines align for optimal delivery.
  • Ensure on-time, on-budget delivery while meeting or exceeding defined quality, safety, and compliance standards (ISO 9001, GDPR, sector-specific standards).
Client-Centred Project Management
  • Work closely with account leads as the primary delivery interface for clients from project initiation to close-out.
  • Support technical leads in early project scoping and discovery to ensure technical solutions are aligned with client success criteria.
  • Gather feedback, identify upsell opportunities during delivery, and maintain strong client relationships.
R&D and Innovation Enablement
  • Coordinate the delivery of internal innovation sprints and R&D projects, ensuring they progress from concept to MVP in defined timelines.
  • Track and report on product/R&D milestones, ensuring alignment with commercial goals and technical capability growth.
  • Integrate lessons from consulting projects into the product development backlog.
Monitoring, Reporting & Improvement
  • Maintain real-time project tracking through appropriate PM tools (e.g. Monday, MS Project) including dashboards for delivery KPIs.
  • Prepare monthly board reports covering progress, resource utilisation, risks, and commercial impact.
  • Run structured post-project reviews to capture lessons learned and feed them into continuous improvement.

 

Key Skills & Experience

Essential:
  • Proven experience leading engineering or technology projects from initiation to delivery.
  • Strong working knowledge of agile and/or lean project management in a technical environment.
  • Excellent organisational and resource management skills across multiple concurrent projects.
  • Confident and caring communicator, able to build trust with both technical teams and clients.
  • Commercial awareness and ability to align technical delivery with business objectives.
  • Experience using modern project management tools and methods.
Desirable:
  • Background in engineering, applied sciences, or technology product development contexts.
  • Experience in R&D project delivery and product lifecycle management.
  • Familiarity with ISO 9001 and quality management systems.
  • Exposure to digital twin, simulation, measurement, or data analytics projects.
